What Causes Duplicate Transactions in Bookkeeping Software, and How Do You Fix Them?

What Causes Duplicate Transactions in Bookkeeping Software, and How Do You Fix Them?

Duplicate transactions are easy to create and surprisingly easy to miss. You may not notice anything is wrong until expenses look too high, revenue seems inflated, or your bookkeeping software balance no longer matches the bank.

Usually, the cause is pretty ordinary. The same transaction entered the books twice, often through two different processes.

The important part is not just finding the duplicate. You also need to remove the right entry without breaking something that was already correct.

How Bank Feeds and Manual Entry Create the Same Transaction Twice

Bank feeds are convenient for monitoring your transactions, but they are not a substitute for having someone monitor your bookkeeping. You shouldn’t trust a bank feed to automate your bookkeeping because it leaves out several important steps and can expose your company to further problems if left unmonitored. Someone still has to decide what each imported transaction should do.

Say you send a vendor a $1,200 payment and record it in the software that day. When the payment clears, the bank feed pulls in another $1,200 transaction.

That second transaction should normally match the one already in the books. Instead, it adds it as a new expense, and your records now show you paid $2,400.

The mistake may sit there longer than you would expect. If you are moving quickly through a busy bank feed, two similar transactions can look completely normal until someone compares the books with the actual statement.

What Happens When Payments and Deposits Are Recorded More Than Once

Duplicate expenses make your costs look higher. Duplicate income can make the business look more profitable than it really is, which can be just as misleading.

Customer payments are a common example. You apply a payment to an invoice correctly. Later, the deposit appears in the bank feed and gets recorded again as sales income.

The customer paid only once, but revenue now shows twice.

Transfers cause trouble too. Moving money from checking to savings should not create income or an expense. If you enter each side incorrectly, though, your reports may show both.

Once those errors start affecting financial statements, the problem is no longer just an untidy bank feed.

What to Check Before You Delete or Void a Duplicate

Once you find two entries for the same transaction, do not just delete whichever one looks easiest.

One of those records may be connected to a bill, invoice, customer payment, payroll transaction, or completed reconciliation. Removing that entry could fix one problem and create another somewhere else.

Look at how each transaction was entered and what it is connected to. Check whether one has already been reconciled and whether both were posted to the same account.

Older entries need even more care. If that period was already used for a tax return, sales tax filing, lender report, or year-end financial statement, changing it may alter numbers others relied on.

How Better Bookkeeping Workflows Help Prevent Duplicate Entries

Most duplicate problems are process problems. If several people enter transactions differently, or no one is clear on whether bank-feed items should be added or matched, duplicates will happen. The same is true when bills, invoices, and manual payments are entered without a consistent workflow.

Monthly reconciliation catches whatever slips through. A duplicate from last week is usually easy to explain. A duplicate from eight months ago may send you digging through old emails, receipts, and statements trying to remember what happened.
